to the individual item.

Individually locking Cubie compartments, biometric access, and automatic drug logs tie every dispense to one person, one patient, and one item. Records stay current, counts stay accurate, and nobody keeps a paper log. The Mini runs on MashuraOS, the software behind the Cubex automated inventory management platform.

Drawer options

Two configurations. Single-item
control in both.

Cubie drawers

Maximum security. Every item behind its own lock.

Cubie drawers divide into individually locking compartments, up to 12 per drawer. A dispense opens one compartment, and the person, patient, item, and time are recorded together. Available in half-height and full-height.

Best for controlled substances and drugs of concern that need single-item control.

Matrix drawers

High security. Room for the medications that move fastest.

A Matrix drawer is a configurable grid for vials, boxes, and bottles of different sizes. Access is at the compartment level, behind the same biometric sign-in and automatic counts.

Best for treatment injectables and other high-volume items your team reaches for all day.

How Mini works

Four steps.
No manual logging.

The Mini runs a four-step workflow powered by MashuraOS, from fingerprint sign-in through par-level restocking, with no manual logging at any stage.

01
Access with fingerprint ID
A user signs in with biometric fingerprint ID. Every access is tied to a named user from the first step.
02
Select patient, item, and quantity
The user selects the patient and the medication on the touchscreen. MashuraOS unlocks only the compartment that holds it, enforcing single-item dispense.
03
Dispense and record
The item is removed and MashuraOS writes the drug log in the same action, including waste and witness where required. On-hand inventory updates immediately.
04
Stay stocked
When a medication falls below its minimum stock level, MashuraOS generates a purchase order and notifies your team to approve it, before you run short.
With CubexConnect (add-on)
Dispense events sync to your practice management system, update the patient record, and add the charge to the invoice.

Specifications

A closer look at the Mini.

Why it matters for veterinary hospitals

Inspection-ready.
Every day.

Controlled substance documentation should never become a last-minute project before an inspection. The Mini records every dispense, return, waste, and count as it happens, tied to the user, the patient, and the single compartment that was opened. Records support DEA and PMP compliance, and when a count is off, the record shows exactly where to look.

Revenue that doesn't walk out the door.

In a busy hospital, items get used and never billed, especially during surgery and emergencies. With CubexConnect, the Mini ties every dispense to the patient and adds it to the invoice in the same action, so charge capture no longer depends on someone remembering.

The intelligence
behind the cabinet.
MashuraOS is automated inventory management software for veterinary hospitals, built on the most accurate data there is: what actually left the drawer. Cubex hardware captures every dispense, return, and count the moment it happens, so on-hand inventory, drug logs, and purchase orders are always current. Less counting. Fewer surprises. More time for patients.

Key features of the Mini

Everything it does after the drawer closes.

Live inventory counts. Always current.

On-hand quantities update the moment an item leaves the Mini, so purchasing decisions run on real numbers rather than a monthly count.

Purchase orders at low stock

Stock drops below a set low-stock level, and a purchase order is ready for your approval.

Live dashboards

Usage, counts, and activity across every location, without a spreadsheet.

Role-based permissions

Decide who can open what, by role.

Enforced witness workflows

Waste and other sensitive transactions require a second sign-in.

Who the Mini is best for

Your practice. Your level of scrutiny.

Top view of a storage container with multiple compartments holding various bottles and boxes with white caps.

The Mini is built for veterinary hospitals that want maximum-security controlled substance management in a countertop footprint.

General practice and specialty hospitals that store controlled substances and want a name on every access

Hospitals still on a lockbox and paper log, or log software with no physical control

Smaller hospitals and satellite locations where space is tight but controlled substance volume isn't

Emergency and critical care hospitals running 24 hours, where single-item control and enforced witness workflows matter most

Hospitals losing charges because controlled substance dispenses never reach the practice management system

Multi-doctor hospitals where role-based permissions and individual accountability keep chain of custody intact

Find the right fit

Which is right for your hospital?

All three manage controlled substances with biometric access and automatic drug logs. The difference is scope.

Frequently asked questions

What does the Mini manage?
chevron down icon
The Mini manages controlled substances, Schedule II through V, along with drugs of concern that need the same level of oversight. Each item can sit behind its own locking compartment.
How many items does the Mini hold?
chevron down icon
The Mini holds 15 to 30 items depending on drawer configuration. Its countertop footprint fits treatment rooms, pharmacies, and smaller spaces where a full-height smart cabinet doesn't.
What drawer configurations does the Mini come in?
chevron down icon
Two. The Mini with Cubie drawers puts every item behind its own locking compartment, up to 12 per drawer. The Mini with Cubie and Matrix drawers pairs those compartments with a configurable grid for packages of different sizes. See Drawer options above.
What is the difference between the Mini and the Mini Essential?
chevron down icon
Both secure controlled substances behind biometric access and write the drug log automatically at the moment of dispense. The Mini adds individually locking Cubie compartments, so each dispense opens a single compartment for a single item. That fits hospitals with heavy controlled substance volume, a diversion concern, or 24-hour operations. The Mini Essential uses two matrix drawers, ships preconfigured, and is built for hospitals taking their first step in controlled substance management.
Does the Mini support DEA compliance?
chevron down icon
Yes. The Mini supports DEA and PMP compliance for veterinary hospitals. Every dispense is tied to a biometric login and recorded automatically, with enforced witness workflows for waste and other transactions that need a second person. Records stay current, searchable, and ready when an inspection comes.
Does the Mini integrate with practice management software?
chevron down icon
Yes, through CubexConnect, a set of add-on software modules. CubexConnect syncs dispense events, patient records, billing, and inventory with leading veterinary practice management systems, including ezyVet, IDEXX Cornerstone, and Digitail. See the full list of supported integrations.
What is the difference between the Mini and a software-only or manual lockbox?
chevron down icon
Software records what someone tells it. It can't stop a drawer from opening, identify who opened it, or count what's inside. A manual lockbox provides neither the record nor the identification. The Mini controls access to each item and creates the record in the same action. See the comparison above.
How does the Mini workflow operate?
chevron down icon
Four steps: fingerprint sign-in, patient and item selection, single-item dispense with automatic recording, and par-level restocking. See How the Mini works above.
What does the Mini cost?
chevron down icon
The Mini starts at $549 per month. Final pricing depends on drawer configuration and the CubexConnect modules you add. Contact sales for a quote and an ROI assessment for your hospital.
How long does it take to set up the Mini?
chevron down icon
Setup covers placement, compartment assignment, staff fingerprint enrollment, role-based permissions, and go-live training, with the Cubex team guiding each step. Book a demo to talk through your timeline.
What support and warranty come with the Mini?
chevron down icon
Every Mini includes onboarding and training from the Cubex implementation team. Customer support and MashuraOS updates are provided under an active Software and Support agreement. Parts, replacement, and on-site service are provided under an active Warranty agreement. Coverage is defined in your agreement.
